Acceptable Use Policy

This Acceptable Use Policy (“AUP”) outlines the rules and guidelines for using Arphie’s services to ensure a secure, professional, and compliant environment for all users. By accessing and using Arphie, you agree to comply with this policy. Violations of this AUP may result in suspension or termination of access to Arphie’s services.

1. Scope

This AUP applies to all users (“Users”) of Arphie’s services, which includes but is not limited to employees, contractors, and agents of businesses (collectively, “Customers”) who subscribe to or access Arphie. This policy covers all interactions with the platform, including but not limited to creating, editing, uploading, or sharing content within the Arphie environment.

2. Permitted Use

Arphie’s platform is intended to be used for:

Facilitating RFPs and other B2B questionnaires: Streamlining the creation, review, and submission of RFP responses and other B2B questionnaires.
Managing Security Questionnaires: Centralizing and managing responses to customer and vendor security questionnaires.
Collaborating on Content: Allowing authorized Users to collaborate on RFP and security documentation within the platform.
Accessing and Maintaining Knowledge Base: Enabling Users to reference and store previously created RFP and questionnaire responses and connected content for future use.

3. Prohibited Use

Users may not use Arphie for any purpose that is illegal, unethical, or harmful to Arphie, its Customers, or other Users. Prohibited uses include, but are not limited to:

a. Security Violations
Attempting to breach, probe, or test the vulnerability of any Arphie system or network.
Gaining or attempting to gain unauthorized access to any system, data, or account not specifically granted to you.
Distributing or uploading malware, viruses, spyware, or any other malicious software.

b. Inappropriate Content
Uploading or transmitting any material that is unlawful, defamatory, harassing, abusive, or otherwise objectionable.
Using Arphie to store or share personal data of third parties unless explicitly necessary for the purpose of RFP, B2B questionnaires, or security questionnaire responses and in compliance with applicable data protection laws (e.g., GDPR, CCPA).

c. Abuse and Misuse
Engaging in any activity that disrupts, interferes with, or impairs the performance of the platform or its infrastructure.
Exploiting or misusing the platform for purposes unrelated to its intended business functions (e.g., sending unsolicited emails, conducting personal projects, or engaging in fraudulent activities).
Violating or encouraging others to violate intellectual property rights, privacy rights, or any other rights of third parties.

d. Impersonation and Misrepresentation
Impersonating another person or entity or misrepresenting your affiliation with a person or entity.
Providing false information in the course of responding to RFPs, B2B questionnaires, security questionnaires, or in any other communication facilitated through the platform.

4. Account Security

Users are responsible for: 
Maintaining the confidentiality of their account credentials and ensuring that account access is only used by authorized individuals.
Immediately notifying Arphie or the Customer administrator if you become aware of unauthorized access or any breach of security related to your account.
Using industry-standard best practices (e.g., strong passwords, two-factor authentication, SSO where available) to safeguard your account.

5. Data Use and Protection

Arphie respects the privacy and confidentiality of all Customer data shared within the platform. However, Users are responsible for:
Ensuring that the data they input into the platform complies with applicable laws and regulations, including but not limited to data privacy laws (e.g., GDPR, HIPAA, CCPA).
Properly classifying, handling, and protecting sensitive information such as trade secrets, customer data, or any other confidential information shared via Arphie.

6. Monitoring and Enforcement

Arphie reserves the right to monitor activity on the platform to ensure compliance with this AUP. This may include reviewing content for compliance purposes but will be done in accordance with applicable privacy laws.

Arphie reserves the right to cooperate with legal authorities and third parties to investigate any suspected criminal or civil violations.

7. Reporting Violations

If you become aware of any violation of this AUP, please report it immediately to security@arphie.ai.

8. Amendments

Arphie may modify this AUP from time to time. Notice of changes will be provided to Customers, and continued use of the platform after such modifications will be considered acceptance of the revised AUP.

9. Liability

Users of the Arphie platform agree to indemnify and hold harmless Arphie, its affiliates, and its employees from any claims, liabilities, damages, or expenses arising out of or related to any misuse of the platform, violation of this AUP, or any breach of applicable laws by the User.

By using Arphie, you acknowledge that you have read, understood, and agree to be bound by this Acceptable Use Policy.
